After the Eagle Board of Review -- What To Do With The Paperwork

Immediately after the board of review, the Eagle Scout's rank application, project workbook, and personal statement will be given to the adult representatives of the unit present at the board of review. All reference statements, any summary sheets attached to the credentials packet by the Advancement Committee, and any notes taken during the review itself will be retained by the North District Advancement Committee.

It is the unit advancement committee's responsibility to submit the signed Eagle rank application to the Circle Ten Council Eagle Service Center for processing and submission to the National Council for validation.

  1. As soon as possible after the Board of Review, and certainly prior to submitting the paperwork to the Council offices, the troop should make a copy of the completed and signed Eagle Rank Application. This is to insure that, should the paperwork go astray during the validation process, it can be quickly and accurately reproduced. This happens about once each year to a Scout in our district.
  2. The original and signed Eagle Rank Application must be submitted to the Circle 10 Council offices (8605 Harry Hines Blvd, Dallas, TX 75235 -- map). The application is turned in upstairs at the "teller window" at the top of the stairs on the left Monday through Friday. If you are submitting the application on a Saturday, go to the desk at the Scout Shop. Eagle Advancement paperwork cannot be submitted, or medal kits picked up, at the Allen Service Center.
  3. Prior to turning in the Eagle Rank Application for processing, the adult leader submitting the application should fill out the Circle 10 Eagle Information Worksheet with all pertinent information. This sheet is used by the Eagle Service Center to track the progress of the application through their system. If there are any problems with the application, the first point of contact is the information person listed on the worksheet. Please make certain that the leader listed is knowledgeable and can answer any questions that might arise. In addition to the Information Worksheet, the submitter should fill out the yellow postcard with the Eagle candidate's name on the printed side and the submitter's name and address on the blank side. This postcard will be mailed to the submitter when the Eagle application has been fully processed and approved and the Eagle medal kit is ready to be picked up.
  4. Attach the Information Worksheet and yellow postcard to the Eagle Rank Application with a paperclip and place in the inbasket upstairs if submitted on a weekday or give to the cashier at the Scout Shop if submitting on a Saturday.
  5. The process of approval takes from 2 weeks to about 7 weeks depending on the age of the Eagle candidate and whether or not there are problems with the application. The Eagle Service Center will verify that the merit badges were earned as listed and that the candidate qualified for each rank. They will also verify that there were no lapses in the candidate's registration and that his registration is current. Much of this process is accomplished online; HOWEVER, if the candidate's board of review was held after his 18th birthday, it sometimes takes longer as, in certain circumstances, the physical application might actually travel to the National Service Center for final verification. The National Service Center is also the source from which the Eagle Certificate and membership card are created so, depending on how backed up they are, the credentials packet might take a few weeks longer to prepare. Once the validation process is successfully completed, and the Eagle Certificate packet and medal kit is ready for pickup, the Council Service Center will mail the yellow postcard to the leader who submitted the application. The Court of Honor should not be scheduled until the yellow card is received.
  6. Upon receipt of the yellow postcard, the authorized leader should arrange to pickup the certificate and medal kit from the Council offices. The certificate and medal packet can be picked up at the Scout Shop (MTWF 9-6; Th 9-8; Sat 10-4). The packet will contain the Eagle Scout's rank application signed by the Scout Executive -- this should be retained by the Troop; the Eagle Scout's certificate and membership card; information from NESA; information regarding publicity avenues for the family to pursue; and the Eagle medal kit. The medal kit contains the Eagle medal, a mother's pin, and father's tie tack, a lapel pin, and a mentor's pin. There is no charge for the Eagle medal kit. There are several Eagle Scout neckerchiefs and slides available at the Scout Shop for purchase as well as other Eagle-related items.
